When external media outlets or third-party production teams wish to shoot video or capture photography at the MIT Media Lab, they must follow specific guidelines to ensure compliance with MIT policies and Media Lab procedures. 

All such projects require advance review and approval to ensure alignment with institutional standards, privacy considerations, and the Lab’s values.

All outside video shoots (this does not include videos shot and produced internally by MIT or MIT Media Lab production staff) and photography at the MIT Media Lab must follow MIT’s official approval process. 

Hosting party at the MIT Media Lab: 

Comms must be aware of and engaged with all submissions to the Institute in advance. Talk with us first (even better, complete a Comms Project Request Form and keep us CC'd on all communications).

Party submitting request:

1. Submit your request
   Email filming@mit.edu at least 72 business hours in advance. Include: All non-commercial video and photo projects require approval from MIT’s Institute Media Relations team.
     —  Organization and contact info
     —  Project description and intended use
     —  Requested dates, times (Monday–Friday only), and locations
     —  Crew size and equipment
     —  Proof of insurance
   
2. Location Agreement required
     —  If approved, MIT will issue its standard Location Agreement, which must be signed and returned before your visit. MIT does not sign outside agreements.
     —  Media Lab researchers and staff may only sign MIT-issued release forms—not those from external production companies or organizations.
   
3. On-site guidelines
     —  Crews are allowed only in the locations listed in the Location Agreement and must not disrupt MIT activities, compromise privacy, or pose safety risks.
     —  A member of the Media Lab Communications team will accompany your crew during your visit to minimize disruption and help protect the intellectual property of other research groups.
   
4. Restricted areas
   Recording is not permitted in the Infinite Corridor, Lobby 7, Lobby 10, residence halls, or most indoor spaces without prior approval. (The first floor of the Stata Center is an exception.)
   
5. Consent required for students
   Students must give prior permission to appear in any video or photos and must be informed how the content will be used.
   
6. Final approval before release
   Once the content is edited, it must be reviewed by the Media Lab Communications team and approved by the MIT Office of Communications. This ensures compliance with MIT’s Use of Name policy, which prohibits any use that implies endorsement.
