Administrative Assistant, Center for Constructive Communication

Job Description

The MIT Center for Constructive Communication (CCC) explores the combination of human conversation and listening with emerging digital technologies, such as Artificial Intelligence, to promote shared understanding and trust.

We seek a motivated self-starter with superior interpersonal skills to handle complex administrative responsibilities. Must be able to interact effectively with a diverse group of research staff, students, collaborators, and visitors; both exercise independent judgment and work within a team-oriented setting; anticipate needs; comfortable working in a demanding, fast-paced environment with the ability to shift tasks quickly and successfully balance and prioritize workload.

Led by Professor Deb Roy, CCC brings together researchers in AI, computational social science, digital interactive design, and learning technologies with software engineers, journalists, political scientists, designers, and community organizations.

CCC works a hybrid schedule - 60% on campus in Cambridge and 40% remote. This is a 1 year position with an option for renewal.

Responsibilities

Administrative

●      Manages the calendar of CCC Director Deb Roy.

●      Coordinate travel logistics for CCC faculty, students, staff, and guests, including hotel and flight reservations and event/conference registration when needed; provide detailed travel itineraries to the traveler and coordinate/process reimbursement for travel expenses.

●      Supports the coordination of CCC meetings, workshops, and conferences, including logistics such as securing space, initiating and coordinating online conferencing (Zoom), catering set-up and breakdown, scheduling, ordering and shipping workshop materials, and generally supporting the event before, during, and after.

●      Supports onboarding for new group members, such as ordering keys, updating mailing lists, and purchasing supplies, including laptops.

●      Maintain office supplies and lab space organization.

●      Handling general office duties as needed and assigned.

Financial 

●      Manage day-to-day spending for CCC according to Media Lab Finance and MIT procedure and compliance policy, such as purchasing materials and services, reconciliations of expenses, including travel (trip reports), expense reimbursements (RFPs), purchase orders and contracts, independent contractor coordination, Financial Review & Control (FRC) reports, maintain all records, invoices, receipts, and the like according to MIT’s record retention policy, etc.

●      Responsible for the use of MIT procurement and travel credit cards for the group according to Media Lab Finance and MIT procedure and compliance policy

Qualifications

REQUIRED:

●      High School diploma or equivalent;

●      Minimum three years of administrative, office, or related experience;

●      Consistent reliability is a must:

●      Ability to work collaboratively and effectively with a creative and diverse group of people, including researchers, students, corporate sponsors, and administrators;

●      Strong organizational and customer service skills;

●      Strong financial sense, attention to detail, and time management skills

●      Effective communicator with excellent verbal and written communication skills;

●      Exercises discretion, diplomacy, and tact;

●      Excellent computer skills, including proficiency with Google Workspace, and comfortable learning new software.

PREFERRED:

●      Associate or Bachelor's degree

●      MIT business apps: Microsoft Office, SAPgui, Concur, Google Workspace, Dropbox.
